Preserve the originals
Keep original photo and video files, including the versions on the device that captured them. Make a backup before sorting or sharing. Avoid applying filters, cropping the only copy, or changing the original files. If you need an annotated copy to explain something, save it separately.
Create a simple folder structure
Use separate folders for photographs, incident reports, insurance letters, treatment-related paperwork, and expenses. Give copies descriptive names and keep a short index explaining what each group contains. Record where files came from, including photographs supplied by witnesses.
Write a timeline while details are fresh
For an incident in Florida, note the precise location, date, approximate time, and any report number. Add subsequent communications and appointments to a dated timeline. Separate what you personally remember from information another person supplied. If you are uncertain about a detail, say so.
Share through the channel your team provides
Ask your legal team which documents they need and how to send them. If portal access is activated for your case, follow the upload instructions and retain your own copies. Do not place accident records in publicly accessible folders or include unnecessary sensitive details in a first inquiry.
